    Full Time Macomb Campus Salary Range : 10.0000 (USD) Hourly Onwards Job Title: Office Assistant, Student Services (Macomb) Status / FLSA Status: FT / Nonexempt Classification: Classified (Clerical Services I) Department: Student Services PRIMARY FUNCTION: The Office Assistant, Student Services (Macomb) performs clerical services for the Macomb Student Services office. RESPONSIBILITIES: 1. Performs clerical duties including, but not limited to, calendar maintenance, meeting coordination, filing, proofreading, and ordering and inventorying office supplies; uses a variety of office and administrative software tools to produce correspondence and spreadsheets, maintain databases, and create purchase requisitions; prepares office mailings, prioritizes and/or distributes incoming departmental mail. 2. Screens and receives visitors and incoming telephone calls while serving as a resource person for students by answering questions about programs and/or services or directing questions to appropriate person and/or department. 3. Enters student registration information, course assignments, drop and add classes into the College's administrative system 4. Enters student educational records into administrative system. 5. Forwards current student and continuing education files, records, and other documents, etc. to the appropriate department while protecting the confidentiality, security, and permanency of records. 6. Distributes student schedules on an "as-needed" basis. 7. Schedules testing room and assists the testing advisor in the administration of placement tests, proficiency exams; scores and distributes test results to appropriate personnel. 8. Maintains and monitors required student documents related to Financial Aid. 9. Processes and distributes incoming financial aid paperwork. 10. Serves as a backup for cashiering and bookstore functions including duties such as: performing cash handling functions, cash drawer maintenance, selling textbooks, and collection and reconciliation of funds generated from tuition and/or bookstore payments. 11. Processes “on demand” transcript requests. 12. Serves on the Graduation Committee. 13. Assists with and attends commencement as is required annually or at minimum on a pre-approved scheduled basis. 14. Scans records into document imaging system. 15. Performs other duties as assigned by the supervisor. SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities. An associate degree in a related field from a regionally accredited institution is preferred. 2. One year of related experience is preferred. 3. Experience using Microsoft applications with a high degree of accuracy and personal computer skills is required. 4. Ability to read and interpret documents such as rules, instructions, and manuals. Ability to write routine correspondence. Ability to speak effectively before groups. 5. Ability to add, subtract, multiply, and divide. Ability to count units of money. 6. Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. 7. Superior organizational, interpersonal, client service, and communication skills, is required. 8. Ability to manage multiple and competing priorities; deal with conflict appropriately; withstand pressure and remain calm in tense situations, accurate; flexible; dependable; responsible; promotes teamwork; demonstrates a positive attitude is preferred. PHYSICAL DEMANDS / WORK ENVIRONMENT: The physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Physical demands for this position include the ability to regularly sit, use hands and finger, talk and hear. This position requires limited standing, walking, reaching, stooping / kneeling. Vision requirements for this position include close vision including the ability to view text from a computer monitor. Work environment for this position includes typical office environment with no extremes in temperature, noise, and limited physical risk.
